We are currently recruiting for an Executive Administration Assistant to join our Executive Head Office team.

 

This position is ideal for someone with experience or enthusiasm for the hospitality Industry, attention to detail and a confident communicator both verbally and in writing. 

 

With a desire to work as part of a proactive team, the ideal candidate will be personable and friendly, able to prioritise a busy workload and anticipate the demands of the department to provide effective administrative support.  You will be supporting the Executive team at Firmdale and discretion is paramount with this role.

The role:

  • General office support and administration including answering and directing phone calls and emails, expenses, timesheet submissions, organizing internal and external post and deliveries, welcoming visitors, co-ordinating and compiling reports, preparing agenda and minutes for meetings and holder of petty cash
  • Compilation of hotel, events and restaurant menus, ensuring these are up to date on the website and that they meet accessibility requirements
  • Assist with company travel as requested, including booking flights, transfers and preparing itineraries
  • Create, edit and keep up to date printed and digitally published collateral, internal communications, company presentations and marketing materials
  • Maintain image library, promotional materials inventory and prepare quarterly printing orders
  • Assisting Management with day to day tasks and coordinating projects and activities as requested

 

What you Need:

·       Proficient with Microsoft Office

  • Experience in the same or similar role
  • Knowledgeable of InDesign, Adobe Illustrator and Photoshop is desirable
  • Ability to work on your own initiative
  • Strong verbal and written communication skills
