Events Assistant Apprenticeship L3 - Garden Weddings Yorkshire Ltd

You will be an integral member of the team as you manage new enquiries & convert them into booked events.

Job Responsibilities:

Daily works include but are not limited to:

New Enquiries & Sales:

– Manage the enquiries email inbox

– Responding to clients brochure & quote requests in a timely & professional manner

– Follow up with clients through phone call backs & email

– Creating bespoke quotes based on information taken from enquiries

– Answering phone enquiries & taking details of event requirements

– Meeting with venues & create a solid relationship to ensure regular future business. Complete annual reviews with venue contacts & implement our SLA agreements,

bespoke to each venue

– Ensure office & processes run smoothly & effectively

Social Media:

– Responding to clients direct messages in a timely & professional manner

– Interact with client comments, reactions & shares when we have active promotional posts

– Contact clients with our brochure & quotes, when requested

Event Planning:

– Manage & guide clients through their wedding planning process. Provide knowledge & experience to assist clients with their planning process

– Prepare client files, keeping them organised & up to date.

– Follow the in depth client journey process, implementing all details are recorded

– Create floor plans & event summaries, bespoke to each clients event requirements

– Prepare relevant documents & perform weekly handovers to the operations teams

– Attend company showcase events to meet with clients & suppliers whilst representing the company

– General office duties and support for the wider team

– Work on improvements set out by management

Operations:

– Complete site visits of client venues & produce a detailed report/ site assessment

– Arrange & book any 3rd party facilities, as required

– Produce job specifications & load lists for the operations team

– Deliver/ collect company equipment & employees to/ from site productively & safely, when required

– Maintain & look after all company equipment to a high standard

– Enforce, abide by & teach all necessary health & safety rules whilst maintaining a safe & tidy workplace

– Complete on-site paperwork in line with company policies
