Assistant Sales Office Manager

What you'll be doing:
As our Assistant Sales Office Manager you will supportthe Cluster Sales Office Manager, supervising the sales office team members, communicating with HOD's to ensure a high standard of delivering hospitality to our group and event bookings.

You will oversee and supervise the sales team to ensure the potential of the venue is maximised and monthly budget achieved.

  • Support the rate strategy for Rooms & M&E in accordance with the venue's budget expectations, be able to update both the PASS and M&E pricing strategy documents for the venue and have a working knowledge of OTA Insights, Tableau and STR platforms
  • Support the Cluster Sales Office Manager with recruitment, and on-going training, and development of new and current sales team members
  • Ensure the sales team are consistently supplying the highest possible levels of customer care and service in the lead up and during the events process
  • Positively approach all sales opportunities to maximise sales and revenue by yielding the business to achieve the venue's sales plan
  • Support the sales team where needed to respond to any customer enquiry within the guidelines set by the venue. To exercise efficient diary management to manage the yield within the sales office
  • Support the Cluster SOM to produce statistical information as required including weekly forecasting, Monthly Business Review Packs, cancelled, denied or refused business
  • Support the Cluster SOM and General Manager with the collation of Commercial and Business review presentations for the venue to share the performance results with the Directors and Senior Team, on occasion attendance at these meetings maybe required
  • Assist in writing budgets and presenting to the Directors, including SWOT analysis and future business strategies
  • Participate in the Bi-weekly Sales Strategy meeting in order to discuss & set strategy, ensure conversion & pro-active sales actions are in place to deliver the hotels budget & forecasted revenue performance
  • Attend any HOD, communication and operational meetings where appropriate to represent the sales department
  • Support the Cluster SOM in ensuring effective communication from the Sales Office department to the operational venue team to ensure the smooth running of events, this includes ensuring BEO's are issued in a timely & correct manner, sleeper forecasts are shared & attendance of one of the team at the weekly BEO meeting
  • Ensure hotel revenue procedure are adhered to for No shows, cancellations, contracting, room allocation, upgrades & reservation process in order to maximise revenue opportunities
  • Ensure all the Sales office team members are operating the reservation & event processes & procedures to TVC standards
  • Ensure all Sales office team members are following up on bookings taken, that they are contracted to TVC standard & updated in Opera
  • Ensure all Sales office team members understand and action the process for denied business by pro-actively securing this business where possible in another TVC venue if not referred to Lime Venues for the wider Compass opportunity
  • Take ownership with the Cluster SOM of the Sales and Catering Audit & take positive action to ensure data integrity on all accommodation & event bookings
  • Help host events during busy seasonal times where required
  • Oversee the event invoicing process, ensuring all conference bills are produced correctly and in a timely manner
  • Encourage the sales team members to be fully engaged with the customers to build and maintain relationships with key accounts
  • Be aware of the services and facilities offered by the local competitor hotels to promote your hotel to its full potential plus have a sound knowledge of industry trends and market changes
  • Comply with all health and safety legislation and actively get involved with reporting issues and training others and be fully aware of the Accident & Maintenance and Fire safety procedures for your department and the wider venue
  • Support the Cluster SOM to ensure all 3rd party websites both for accommodation and event sales are displaying the correct business details and rates
What we'll give:
